Healthcare AI consulting

Healthcare AI consulting: work out where AI is actually worth it, then build only that.

Most healthcare and wellness businesses know AI should be saving them time by now. Far fewer know where to start. That gap is what our healthcare AI consulting closes. We do the unglamorous part first: sit with how your business actually runs, find the two or three processes where AI would genuinely pay for itself, and tell you plainly which ones it would not. Then, if it stacks up, we build them.

No sensitive patient or client data goes into anything we build. Nothing we build makes a clinical decision.

Sound familiar?

You don't need convincing about AI. You need to know where to point it.

The question we get asked is almost never "should we use AI". It's "where would it actually help us, and how would we know".

  • Someone on the team has a ChatGPT tab open, doing admin nobody has documented
  • There's a tool the practice paid for and never rolled out
  • A nagging sense the business is a year behind, with no way to check

That's a mapping problem before it's a technology problem.

What this actually is

Four things, in order

We're not a strategy firm handing over a deck. This is the work that has to happen before anything gets built, done by the people who would build it.

Process audit

Where the hours and the money actually go

We map how your business runs week to week: who does what, how often, where things wait, and what gets repeated. Most of the value is here. You cannot automate a process nobody has written down.

Opportunity shortlist

Ranked by payback, not by novelty

Every candidate process scored on how much time it eats, how repeatable it is, how risky it would be to automate, and what it would cost to build. Some come back as "worth doing next month", some as "leave this alone".

Build spec

A plan specific enough to act on

For the processes that make the cut, a written spec: what the system does, what it does not do, where a human stays in the loop, what it connects to, and what it takes to build. Detailed enough that you could hand it to someone else.

Handover and training

Your team running it without us

When we build, we train the people who use it daily and write it down, so the system belongs to your business rather than to us. We did exactly that at BZ Clinic before their typist retired.

What it looks like

Scoped to what you actually need, not a package

There is no standard engagement here, because the useful answer is different every time. Sometimes it is a roadmap. Sometimes it is training on tools you already pay for. Sometimes it is a single call that saves you buying something you did not need.

  • A conversation first. Where the time goes, what you have already tried, what your team would actually adopt
  • A roadmap, if that is what helps. The processes worth automating, each weighed for time saved, risk and readiness, plus a clear "not worth it" list with the reasoning
  • Training, if the tools are already there. Most businesses are paying for capability they are not using. Sometimes the win is teaching it, not building anything
  • A build, if it earns its place. Scoped separately, only where the payback is obvious
  • Or nothing at all. If AI is not your bottleneck, we would rather say so than sell you a project

We scope and price it once we understand the business. What you will not get is open-ended consulting hours with no defined end.

What this looks like when it's done

BZ Clinic

A Surrey clinic whose specialist medical typist was retiring, with a hard constraint: no identifying patient information could ever reach an AI tool. We mapped the letter-writing process first, including the clinic's own templates and the corrections its clinician actually made, then built to that map. The clinician now dictates as normal and a fully formatted letter comes back in about five minutes instead of the hour it used to take. Built and handed over in under a month, and the clinic owns it outright. Read the full BZ Clinic case study →

Who we do this for

Healthcare first, wellness welcome

If you're a wellness company rather than a clinic, a studio, spa or nutrition practice, we have a page written for you: AI consulting for wellness businesses →

Most of our work is with clinics, and that's where our deepest knowledge sits: clinical admin, patient enquiries, referral letters, the compliance lines you don't cross. The work itself is shaped by process, not by speciality.

  • Private clinics and consultant practices, single site or multi-site
  • Aesthetic, skin and cosmetic clinics
  • Physiotherapy, osteopathy and other multi-practitioner treatment practices
  • Nutrition, functional medicine and wellness practices with a team
  • Studios and health businesses running real admin behind the front desk

Where we're honest about the fit: if you're a solo practitioner, or the admin in question takes an hour a month, automation almost certainly won't pay for itself, and we'll say so rather than sell you a roadmap.

Said plainly

The lines we don't cross

  • No sensitive patient or client data goes into anything we build. Where identifying details are involved, we design the process so the AI layer never receives them in the first place, the way we did at BZ Clinic.
  • Nothing we build makes a clinical decision. It formats, routes, drafts and summarises. It does not diagnose, prescribe or advise, and a person stays accountable for anything that goes out.
  • We won't recommend replacing systems that already work. Most of what we build sits on top of the tools you already run.
  • If a process isn't worth automating, that goes in the roadmap as a "no". A short roadmap with two honest recommendations is worth more than a long one.
  • AI consulting and the builds that come out of it are scoped bespoke to each business. They sit outside the 15-enquiry guarantee that applies to our marketing retainers. See how our retainers work for what that guarantee does cover.
Where this fits

Map it, build it, then measure it

Consulting is the front end. Everything else we do with AI follows from what the map says.

Honest answers

Common questions about AI consulting

Is healthcare AI consulting advice only, or do you build as well?

Both, in whatever order fits. Where the work produces a roadmap, it is genuinely standalone: you can take it and hand it to anyone. But we're a team that builds these systems, not a strategy firm, and most clients want the same people who mapped the process to build it. Advice from someone who has never had to make it work in a real business is worth less.

What do we get, and what does it cost?

It depends on what your business actually needs, which is the honest answer and the reason we will not put a package on a webpage. For some businesses the right outcome is a written roadmap with build specs and a walkthrough call. For others it is training on the tools you already pay for, or a build, or one conversation that stops you buying something unnecessary. We agree the shape and the price on the discovery call, once we know the size of the business and what is in scope, because a single-site practice and a five-site group are not the same job.

We're not a clinic. Is this still relevant?

Probably, if you have a team and repeatable admin. Clinics are where most of our work has been and where our knowledge of the compliance lines is deepest, so that's what we lead with. The audit itself looks at process rather than speciality. Ask us on a call and we'll tell you honestly whether we're the right people for your business.

Does our patient or client data go into any of this?

No. Where identifying information is involved, we design the process so the AI layer never receives it. At BZ Clinic that meant the drafting layer is never given a name, date of birth or address, so there is nothing there to leak. And nothing we build makes a clinical decision: it formats and drafts, a person reviews and approves.

Does your 15-enquiry guarantee cover this?

No, and we won't pretend otherwise. The guarantee applies to our marketing retainers, where we control the inputs and the outcome is a countable enquiry. AI consulting and the builds that follow are scoped bespoke to each business, so they're quoted and agreed separately. We'd rather promise one thing we can stand behind than three we can't.

Start with where the hours are going.

One call, and we'll tell you honestly whether AI would be worth it for your business, or whether you'd be better off fixing something simpler first.
